1. Scope
This policy applies to payments accepted at the physical food stall, cart, food truck, counter or other
point of sale, including card terminals, UPI QR, UPI apps, cash, wallets or other enabled methods.

2. POS transaction process
The operator should generate or record an order/bill, communicate the payable amount, accept the
selected payment method, confirm successful payment, and provide a receipt or transaction evidence
where required.

3. Card payments
Customers should complete card transactions themselves where the terminal design permits. Store staff
must not request a customer’s PIN for recording or retention. Full card credentials should not be copied

or stored by staff.

4. UPI / QR payments
Customers should verify the merchant name and amount before authorising a UPI payment. Staff should
confirm the transaction through the merchant-side confirmation/terminal rather than relying solely on a
customer screenshot.

5. Cash
Cash payments should be counted carefully and change confirmed at the counter. Customers should
check the receipt/bill before leaving.

6. Failed, reversed or pending POS payments
If a POS/UPI/card payment is pending or failed but money appears debited, the operator should verify the
merchant settlement/transaction status before accepting a second payment where practicable. The
customer should retain the bank/UPI reference.

7. Duplicate POS payments
If duplicate payment is confirmed, the operator should record the transaction references and process an
appropriate reversal/refund through the relevant payment channel or provide another lawful resolution.

8. POS refunds
Cash or digital refunds should be documented. Card/UPI refunds should ordinarily be processed using the
supported refund mechanism of the relevant payment provider where available.

9. Receipt and tax records
The POS system should retain appropriate sales records, invoices/receipts and payment reconciliation
information for accounting, tax, audit and legal requirements.

10. Privacy and payment security
POS devices should be access-controlled and protected from unauthorised use. Staff should not
photograph, copy or retain customer payment credentials. Payment-provider and card-network rules
should be followed.

11. Chargebacks and disputes
The operator may respond to payment disputes/chargebacks using order records, receipts, POS logs,
settlement records and other lawful evidence.

12. Staff controls
Only authorised personnel should operate POS systems, issue refunds, void transactions or change

prices. Refund and void permissions should be restricted and periodically reviewed.

payment terminal/acquirer, UPI provider, accounting setup and applicable payment-network rules.
